A well established art auction house is seeking to hire a full-time client services representative/receptionist. We will follow up with applicants if we are interested in an interview. No phone calls please.
Responsibilities include:

To be the first point of contact with clientele and potential clients

Answer telephones, take messages and distribute to staff, follow up with clients
-
Accurately maintain all office records and filing system
-
Including accounts receivable and accounts payable
-
Oversee property management
-
Coordinating deliveries and maintaining inventory
-
Retrieve mail from the post office
-
Maintain office supplies and general office equipment
-
Schedule and confirm delivery appointments
-
Support staff with specific projects as needed
Requirements:

Highly organized and efficient
-
Retains the ability to complete a project from start to finish

Can effectively communicate with clientele and with staff
-
Proficient writing skills (must be capable of composing a professional email and various correspondence)

Can manage deadlines, works well under pressure and has a strong work ethic

Must be able to set priorities while working on several projects at once

Must work well with a team and/or independently with minimal supervision

Knowledge of these programs is required: Microsoft Office (Excel, Word, Outlook), Adobe

Knowledge of these programs is a plus: FileMaker Pro, Photoshop CS4 and/or CS5
-
At least two years of office administrative experience is required

General knowledge of an auction house/general auction procedures is favorable

Bachelor’s degree required
