Receptionist - Description
CORPORATE RECEPTIONIST with strong adminstrative skills sought by high profile development and management company. This is a critical position that is expected to display and maintain the utmost in professionalism at all times. Responsible for all lobby functions including answering & directing calls, taking/forwarding messages, receiving guests & notifying internal employees of their arrival & keeping lobby clean, organized & well maintained. The ideal candidate must be polished with skilled customer service abilities and feel comfortable in a corporate environment with a formal business professional dress code.
Must be available Monday through Friday from 8:30-6:00pm and must be flexible and willing to assist with a variety of duties as directed.
Essential Job Requirements:
Answers and directs incoming calls.
Greets guests and informs of their arrival.
Assists on various administrative tasks as assigned.
Schedules Conference Rooms.
Validates Guest Parking.
Shares knowledge of all properties/events with callers & employees.
Maintains company confidentiality.
Inputs articles and data into Company Intranet (SharePoint).
Maintains and updates employee info on phone lists, titles, quick list, etc. and sends out email monthly.
Assists with general maintenance of kitchens.
Creates & distributes monthly reception back-up schedule.
Backup to order office supplies weekly for the corporate office.
Sorts and distributes mail.
Logs in packages; coordinates distribution to employees.
Inputs info and creates labels for Fed Ex/Cal Over pkgs. Reviews invoices and assists with reconciliation.
Sets out early arrival sheet daily for employees.
Announces important info to employees over the PA system.
Informs Office Manager of any Lobby or other maintenance issues. May call work order hotline for service if directed.
Knowledge and Skills Required:
Excellent knowledge of Microsoft Office (Word, Excel, Photoshop)
Upbeat attitude and willingness to learn
Comfortable and experienced with busy phones (up to 10 incoming) with 60 plus extensions
Able to present and maintain a polished business professional appearance daily
Customer Service Experience
Reception experience in a similar professional environment
Able to multi-task and maintain good temperament during high pressure situations
Able to handle criticism and a variety of personality types
